Studio Manager/Executive Assistant Opportunity: Strategic, Creative Design Studio

Our client is a boutique strategic, female-led creative design studio located in New York City. They produce beautiful advertising and branding across clients in the technology, fashion, beauty, and lifestyle realms. The studio offers a collaborative and nurturing culture. They seek an incredibly organized, enthusiastic, and go-getting Studio Manager/Executive Assistant to join their team.
This candidate will be the backbone of this award-winning design studio, keeping it flowing smoothly and efficiently as well as playing a critical and trusted support role to the Chief Creative Officer/Founder and Managing Director. The Studio Manager/Executive Assistant will be the face of the studio, the first person to greet anyone who enters the office and the glue that binds internal teams together. This candidate will be expected to multi-task and wear several hats including studio management, executive assistance, financial assistance, new employee onboarding/culture creation and maintenance, as well as project management and business development assistance when required.
Responsibilities:
-Coordinate Chief Creative Officer and Managing Director’s schedules and calendar and ensure they are prepared for meetings
-Maintain and organize relevant paperwork and files
-Help coordinate travel
-Assist with party and event planning
-Keep the studio clean, organized, and running efficiently
-Greet visitors at the front of the office and make them feel welcomed
-Correspond cordially and professionally with clients when necessary
-Be the point of contact with building Landlord and Superintendent
-Ensure office is stocked with supplied and order when necessary
-Enforce office organizational systems and the adherence of staff procedures
-Coordinate office expenses as well as review/track studio expenses
-Coordinate with Managing Director on studio supply, vendor, and repeat service budgets
-Assist with IT related tasks such as ordering new equipment when necessary and ensuring all apps/software programs are updated
-Handle new employee orientation
-Help to manage interns
-Help with agency’s social media schedule and response
-Assist with new business meetings and project management initiatives when necessary
Requirements:
-2-4 years’ experience in a studio management, office management, or executive assistant type role (agency experience preferred)
-A passion for design
-An incredible eye for detail and impeccable organization and communication skills
-The ability to be proactive and think fast on your feet as well as wear multiple hats in one day
